Define the official trigger
Choose one event that means the client is real: signed agreement, successful payment, accepted proposal or another explicit business event. Do not start onboarding merely because someone sounded positive on a discovery call.

A CRM workflow is useful for changing lifecycle status, sending a welcome message, assigning onboarding tasks and delivering the next form or calendar link. The automation should be triggered by the real win event so sales messages do not continue in parallel.

Design a visible definition of “onboarded”
Onboarding should have an end state. For example: agreement complete, payment complete, intake received, first session scheduled and access/resources delivered. When those conditions are met, the client should leave the onboarding queue and enter the normal delivery workflow.
Without that definition, new clients remain in a permanent half-started state and the coach cannot tell who still needs attention. A simple onboarding checklist is often more useful than a long welcome sequence. Automation can populate the checklist and send routine instructions, while the coach handles the pieces that require judgment or personal context.
