A seven-stage default

Stages need exit criteria
A lead should not move to Qualified because someone “seems interesting.” Define the event that changes the stage. Likewise, a booked call becomes Decision only after the call occurs. Clear exit criteria make automation safer because the system is reacting to meaningful states.
Keep activity outside the stage names
“Email sent” and “left voicemail” are activities, not stages. A stage should describe the opportunity's status. Activities belong in the timeline and task system.
What to automate
Automate stage-adjacent housekeeping: confirmations, reminders, task creation, nurture enrollment and onboarding handoffs. Keep judgment-heavy stage changes manual unless the event is unambiguous, such as an appointment booking or completed payment.
Pipeline hygiene routine
Once a week, filter for opportunities with no upcoming task, stale stages and contradictory statuses. A ten-minute pipeline review often creates more value than another complex automation.
Use lost reasons to improve the system
A closed-lost stage is more useful when it records a small, consistent reason such as timing, budget, wrong fit, chose another option or no decision. Do not create twenty reasons. Use enough structure to spot patterns without turning every call into administrative work. This is particularly useful in a business-coaching CRM, where higher-value opportunities may move through longer decision cycles.
Review those reasons periodically. If a large share of otherwise qualified prospects are lost to timing, the nurture and reactivation system deserves attention. If many are wrong-fit inquiries, lead capture and page positioning may be the real problem. The pipeline is not just a place to store deals; it is a feedback mechanism for the acquisition system.
