Choose the action after submission first
Decide whether a qualified lead should book immediately, wait for review, receive a resource or enter nurture. Then collect the minimum fields required to make that routing decision.
Useful field categories
- Identity and reliable contact details.
- The problem or outcome relevant to your offer.
- Timing/readiness when it affects fit.
- One or two qualification criteria that genuinely change routing.
- Consent choices appropriate to the communication you plan to send.
Do not ask the calendar twice
If the prospect has already answered qualification questions, those answers should follow the contact into the booking and CRM experience. HighLevel supports custom forms on calendars and saves collected information to the CRM record, which can reduce duplicate questions in an integrated setup.
Routing examples
| Response | Next step |
|---|---|
| Good fit + ready | Offer discovery-call calendar. |
| Potential fit + needs review | Create internal review task; acknowledge submission. |
| Too early | Offer useful educational resource or nurture path. |
| Wrong service | Explain mismatch and avoid unnecessary sales follow-up. |
What to measure
Track completed qualified leads, bookings from those leads and the number of leads that receive no meaningful next action. Form conversion rate alone can reward low-quality submissions, so pair it with downstream outcomes.
Preserve source without turning attribution into a project
At minimum, record the meaningful source category—organic search, referral, paid campaign, social, partner or direct outreach—when the lead enters the CRM. If campaign-level detail is valuable, capture it automatically. Do not make the prospect choose from an internal marketing taxonomy they cannot understand.
Source data becomes useful when paired with downstream states. A channel that generates many leads but few qualified calls may be less valuable than a smaller source with strong qualification and attendance. The capture system should therefore preserve enough context to connect acquisition with pipeline outcomes, not just count form submissions.
